Sometimes you cannot establish why a person stopped replying. Record an unknown outcome instead of inventing a loss reason.
The advertisement, form and first message should describe the same offer. Make the service area clear. Explain whether submission leads to a call, estimate, qualification conversation or appointment request.
Meta’s guide recommends explaining what people can expect after submitting an instant form. It also describes form options, filtering and CRM integration (Meta, n.d.). Check which features are available in your account before implementing a test.
Additional questions can provide context but also create effort. Test a question that changes a routing decision. Evaluate qualified conversations, not only completed forms.
Phone verification, where available, can provide evidence of access to a number. It does not establish a suitable need or buying capacity. A landing page is not automatically better than an instant form either. Compare their commercial outcomes in your business.

The message identifies the sender, recalls the request and makes responding easier. Avoid opening with a full interrogation or repeatedly sending the same reminder. Respect requests to stop and provide a human handoff for unclear situations.
A CRM records what your team has checked. Automation can support assignment, reminders and context transfer. It does not independently verify purchase intent.
A simple proposed workflow is to record the request and source, detect duplicates, assign an owner, send the appropriate acknowledgement, collect useful information, and route or schedule the next action. Synchronisation failures should generate alerts rather than silently lose leads.
Within your CRM and automation system, distinguish an automatic acknowledgement from the first useful human response. Measure both delays. Have a person review uncertain classifications proposed by AI.
